Privacy Policy

How Onservicegeeks Technologies collects, uses and protects your personal data, in line with the Kenya Data Protection Act, 2019.

1. Who we are

Onservicegeeks Technologies ("we", "us") is a registered business in Kenya with offices at Aim Hangar, Wilson Airport, Nairobi, Kenya. We provide IT services, Odoo solutions and software products. For personal data collected through this website we are the data controller.

2. Personal data we collect

  • Information you give us through our contact, health-check and demo request forms: your name, company, phone or WhatsApp number, e-mail address and what you tell us about your needs.
  • Conversations with us by live chat, WhatsApp, e-mail or phone.
  • Demo accounts: if we give you a demo login, we record when it is used and basic technical details (IP address, browser and device) for security.
  • Technical data when you visit the website: IP address, browser type, pages visited and cookies (see our Cookie Policy).

We do not ask for sensitive personal data (such as health, biometric or financial account details). Please do not send it to us through the website.

3. Why we use your data and our lawful basis

  • To reply to your enquiry, book a health check or give you a demo: to take steps you ask for before entering into a contract with us.
  • To provide services you buy from us: to perform our contract with you.
  • To keep our website, systems and demos secure and to improve our services: our legitimate interests, balanced against your rights.
  • To meet legal obligations, such as keeping tax and accounting records.
  • To send you news or offers: only with your consent, which you can withdraw at any time.

We do not sell your personal data and we do not use it for automated decisions that affect you.

4. Who we share it with

  • Hosting provider: our website, CRM and demo systems run on servers provided by InterServer, Inc. in the United States.
  • Communication providers: Google (e-mail) and, if you contact us on WhatsApp, WhatsApp/Meta. Their own privacy policies apply to their services.
  • Professional advisers and authorities, when we need advice or the law requires us to disclose information.

Anyone who processes data for us must keep it confidential and secure and use it only on our instructions.

5. Transfers outside Kenya

Because our servers are in the United States, your personal data is transferred outside Kenya. We do this only in line with Part VI of the Data Protection Act, 2019, using providers that apply appropriate security safeguards, and only as far as needed for the purposes above.

6. How long we keep it

  • Enquiries and demo requests that do not lead to work together: up to 24 months, then deleted.
  • Client records: for the length of our relationship and afterwards for as long as the law requires (for example, tax records for at least five years).
  • Demo account and security logs: up to 12 months.

7. How we protect it

We use encrypted connections (HTTPS), access controls, regular backups and read-only demo accounts, and we limit access to people who need it. If a personal data breach is likely to put you at risk, we will notify the Office of the Data Protection Commissioner and, where required, you.

8. Your rights

Under the Data Protection Act, 2019 you have the right to:

  • be informed of how your personal data is used;
  • access the personal data we hold about you;
  • object to processing of all or part of your data;
  • have false or misleading data corrected, and data deleted where we no longer have a reason to keep it;
  • receive your data in a portable format where the law allows;
  • withdraw consent at any time, where we rely on consent.

9. Complaints

Please contact us first so we can try to resolve your concern. You also have the right to complain to the Office of the Data Protection Commissioner (ODPC).

10. When we process data for our clients

When we host or support systems for our clients (for example Odoo, OSG Management Reporting or the Aviation QMS), the client decides how that data is used and we act as their data processor under our agreement with them. Questions about that data should go to the client organisation.

11. Children

Our website and services are for businesses and are not directed at anyone under 18.

We may update this policy. The effective date above shows the latest version; significant changes will be highlighted on this page.
