Many companies run Odoo next to the spreadsheets it was meant to replace. Sales are in the system, but the real stock count is in a workbook. Invoices are posted, but the margin report is rebuilt by hand each month. The result is two versions of the truth, and meetings spent arguing about which one is right.
Signs you are not there yet
- Month-end needs exports and manual adjustments before anyone will look at the numbers.
- Stock in the system and stock on the shelf disagree, and everyone knows it.
- The same customer or product exists two or three times with slightly different names.
- Key information lives in one person's spreadsheet or inbox.
Start with one process
Do not try to fix everything at once. Pick the process that causes the most rework, for example purchasing to receiving to supplier bill, and make the system the only place it happens. When that works, move to the next.
Clean the master data first
Customers, suppliers, products and the chart of accounts are the foundation. Merge duplicates, agree naming rules and decide who may create new records. A clean list of 500 products beats a messy list of 2,000.
Give each process an owner
Someone must own each process and its data: the store manager for stock, the accountant for the ledger, sales for customers. Ownership is what keeps the data clean after go-live.
Retire the spreadsheet on purpose
A spreadsheet that is still updated will still be used. When the process is live in the system, agree a date, archive the old file read-only, and point people to the report that replaces it.
Measure it
Track a few signs: days to close the month, stock count differences, and how many manual adjustments are needed. When those fall, the system has become the source of truth.
